What is change management?

Change management refers to a systematic approach to guide the transition of individuals, teams, and organisations from their current state to a desired future state. This concept is not new; it has its roots in the early 20th century but has become particularly prominent in the last few decades, due to rapid technological advancement and increasing globalisation.

Although the methods and scale of implementation can vary, change management is applicable in both large and small businesses. This can be facilitated by local consultancies and change management experts.

Models and theories

There are various models and theories that assist in planning and implementing changes within an organisation. For example, there is Lewin’s Change Model, developed in the 1940s by German-American psychologist Kurt Lewin, and the widely used ADKAR model by the organisation Prosci.

Another model is William Bridges' Transition Model, which distinguishes between 'change' and 'transition', where change is something external and transition is the internal process people go through to adjust to the change. Organisations that take the time to guide their employees through these phases increase the chances of successful and sustainable change. The model emphasises the importance of empathy, support, and communication throughout the entire change process.

The model includes three phases:

  • End: Contrary to what the name suggests, this is the first phase. It is crucial for individuals to recognise what is being lost and mourn this loss. Effective communication and support are essential in this phase to help people accept the change.
  • Neutral Zone: This second phase is a period of transition, which can be a time of uncertainty, confusion, and frustration, but also a period of great creativity and innovation. People often feel unsure about their role, tasks, and the future. It's a critical time for personal growth and discovering new possibilities.
  • New Beginning: In the final phase, individuals begin to accept the change and adapt to their new role, identity, or way of working. This phase is characterised by a renewed sense of purpose, energy, and commitment. People start to see and embrace the benefits of the change. For a successful new beginning, it's important for leaders to clearly communicate the new vision, celebrate successes, and support the new start with the necessary resources and training.

Change: past and present

In the past, change management was primarily seen as a one-time project, focused on large, organisational shifts. Today, with the ongoing evolution of the market and technology, change management has become a continuous process. Organisations must now cultivate a culture of continuous improvement and adaptability to survive and thrive.

Notion and Make

As an aid in change management

Notion can act as a central platform for change management by providing a shared space for project documentation, planning, and communication - all essential for effective change. Notion's flexible structure supports the documentation of processes, creation of interactive checklists, and tracking of progress. This enables teams to share information and updates in real-time, promoting transparency and collaboration during the change process.

Make can be used to automate repetitive tasks within the change management process, such as sending reminders for deadlines and collecting feedback. Moreover, Make's integration with other systems helps streamline data transfer and communication between different platforms, increasing the efficiency and effectiveness of the change management process. By automating these tasks, project managers can focus on strategic aspects of change, such as guiding their teams and addressing resistance.

As a cause of change management

The implementation of tools such as Notion for project management and knowledge sharing, along with Make for automating workflows, promises significant benefits. For example, by streamlining routine tasks, employees have more time for more valuable work - or an extra break. However, transitioning to these new systems requires careful change management to ensure success. Companies need to communicate clearly and transparently about the benefits and impact of new software. By continuously seeking feedback and providing training for their employees, they involve everyone in the implementation process, making employees feel more comfortable using such tools.

Conclusion

Change management is an essential competency for both large and small businesses aiming for sustainable success in an ever-changing world. By recognising the human aspect of change and applying proactive strategies, organisations can increase the acceptance of these tools and realise their full potential. Various models and theories exist around change management. By combining or adapting these to the unique needs of an organisation, along with the support of Notion and Make, organisations can become more efficient and adaptive in navigating the complexities of change.
